VIII-C-l

MEMORANDUM

TO:
FROM:
DATE:
SUBJECT:

Honorable Mayor and City Councilmembers
Dave Osberg, City Administrator
September 27,2007
City Hall Renovation Project

Recommended City Council Action

It is recommended that the City Council take action approving the plans for the City Hall
front lobby project, and authorize the receipt of bids, with a scheduled award date at the
November 5, 2007 City Council meeting.

Staff is also recommending that action be taken approving the agreement with TKDA to
continue to provide consulting service during construction at the Public Works Garage
and during the City Hall project. The supplemental agreement is attached, and is meant to
include only supplemental agreement #3, as the prior agreements have been completed
and accounted for with prior payments.

Backl!round

At the City Council meeting on Tuesday June 19,2007 action was taken authorizing
TKDA to complete construction documents for the City Hall first floor renovation. Staff
has enclosed a drawing, illustrating the proposed changes in the City Hall first floor. Staff
has also enclosed a copy of the estimate of probable construction costs. An earlier
estimate of $339,000 provided by TKDA inadvertently included the estimated
construction cost of the 2nd floor renovation, which is not included in this project. Thus,
the estimate of $190,000 is well within the original financing plan that was outlined for
the project. Based on the favorable estimate of probable costs, Staff is seeking
authorization to solicit bids, with an anticipated award at the City Council meeting
scheduled for November 5,2007. Staffs anticipates starting construction later in
November and have the project completed within 2-3 months after construction has
started.
